2010 EXHIBIT RULES AND REGULATIONS
 
The exhibitor agrees to abide by all rules, requirements, restrictions and regulations set forth in this agreement or as may be designated by the ITPX and/or the Flamingo Las Vegas Resort and Casino. Failure to abide by such rules and regulations will result in the forfeiture of all monies paid or due to the ITPX under the terms of this agreement. Exhibit backgrounds must conform to the following standards:
Spacing
Exhibits should be constructed so that no copy or structure appears higher than 8 feet from the floor. They shall not obstruct the view with traffic to exhibits of others. The wings of an exhibit shall not come out more than 5 feet from the back wall.
Audio
Electrical or other mechanical apparatus must be muffled so noise does not interfere with other exhibits.
Advertising
Equipment or signs may not be posted, nailed or otherwise attached to columns, walls, floors or other parts of the building or its furniture; damage resulting from failure to observe these rules shall be payable by the exhibitor.
Staffing
Exhibits must be staffed at all times. Those firms that do not keep their booths staffed and operating until the official closing time jeopardize their participation at future meetings.
Selling
Canvassing or distributing advertising matter outside the booth is not permitted; solicitation of business, except by exhibiting firms, is not permitted.
Standards
Exhibit profile is subject to approval by the ITPX, who reserves the right to refuse exhibit applications that do not meet the standards required or expected, as well as the right to curtail exhibits or parts thereof that do not support the character of the meeting. Products or services unrelated to the exhibit cannot be displayed.
Booth Personnel
The ITPX will compliment 2 persons per booth. Additional personnel may be present for $250.00 per person. Limit of four personnel per booth.
Giveaways
Distribution of product literature, bags, pens, pencils and small tele-communications items is permitted. Other items may be distributed from the booth with prior written approval. All giveaways must be useful to meeting participants and/or within the professional activities of the booth visitor. Any exhibitor found distributing unacceptable materials will be required to cease distribution immediately.

Subletting Space
The subletting, assignment or apportionment of the whole or any part of exhibit space by any exhibitor is prohibited. No exhibitor may permit any other person or organization to exhibit any goods other than those manufactured by the contracting exhibitor. The exhibitor may not permit the solicitation of business by others within the exhibitor’s space.
Security
Security will be provided during exhibition open hours. However the safekeeping of the exhibitor’s property is the responsibility of the exhibitor.
Insurance
Exhibitor’s wishing to insure their exhibit materials, goods or exhibits against theft, damage by fire, accident, or loss of any kind must do so at their own expense. Exhibiting companies are responsible for obtaining liability, fire and theft insurance. All personnel on the exhibit floor must be covered by Worker’s Compensation and general liability insurance. Any independent contractor must provide a Certificate of Insurance to show management by March 3, 2010.
Fire Protection'
All materials used in the exhibit area must be flameproof and fire resistant to conform with local fire ordinances and to the National Association of Fire
Underwriters regulations. Crepe paper or corrugated paper, flameproof or otherwise, will not be permitted. Display racks, signs, spotlights and special equipment are subject to inspection by the Fire Prevention Bureau. Any exhibits or exhibit parts not found to be fireproof may be ordered dismantled. All aisles and exhibits must be clear at all times and fire stations and fire extinguishers must not be covered or obstructed.
Americans With Disabilities Act
Exhibitor represents and warrants (i) that its exhibits will be accessible to the full extent required by law; (ii) that its exhibit will comply with the Americans with Disabilities Act (ADA) and with any regulations implemented by the Act; and (iii) that it shall indemnify and hold ITPX harmless from and against any and all claims and expenses, including attorneys’ fees and litigation expenses, that may be incurred by or asserted against ITPX, its officers, directors, agents or employees on the basis of exhibitor’s breach of this paragraph or noncompliance with any of the provisions of the ADA.
Violations
Violation of these regulations by the exhibitor’s employees or agents shall annul the right to occupy space and the exhibitor shall forfeit the booth fee paid to the ITPX. Upon evidence of violations, the ITPX may take possession of the exhibit space and remove all persons and goods at the exhibitor’s risk. The exhibitor shall pay all expenses and damages that the ITPX may incur.
Cancellations
Cancellations must be made in writing. Any exhibitor, who releases space at least 90 days prior to the meeting, January 18 2010, will be refunded all but $500. Exhibitors who cancel after that date will be responsible for the total booth fee. Should any contingency prevent the meeting from taking place, the ITPX shall not be liable for expenses incurred by the exhibitor.
